Systems will help give you more creative time to do what you love. You can get off track and quickly get back when you have a system to get back to. I created my own systems in preparation for maternity leave so my business could run without me.
I decreased my stress and wondered why I didn’t do this sooner! Systems gave me more time freedom with my family and helped me love the work I did again (instead of burning out).

How To Develop Systems In Your Business in 5 Easy Steps
I’ve got great news for you! Making a plan to develop systems will give you more time with your family, customers and clients. With systems you’ll be able to have more time to create your next revenue stream and more time to create the life you really want.
1. Identify What System You Should Start With
Here are some questions to help you figure out where to start:
- What is currently keeping you up at night?
- What are you tolerating right now?
- Where are you spending/wasting the most time?
- What part of the day do you HATE the most?
One of the best things I do every single day is audit my time. This way at the end of each week I can look back and see what is working and what is not working. I have a big goal of reducing my work time in half by the time my kids are out of school for the summer.
After you audit your time for one week and track everything you do, think about what you can create a system for that is taking too much time.
I do a monthly time review and it saves me so much time. I always have lightbulbs and I even make my entire team do it too.
2. Make a Plan For How You Will Create Your Systems
Next, document the steps you currently take and add in the steps you want to take in the future.
You can follow checklists to decrease decision fatigue and make the process smoother for yourself. Document the steps you want to take in a google document to create a routine or habit.
Even if you don’t have a team yet, this is a great step to take. All of our systems at Classy Career Girl are documented with checklists in google docs. We don’t currently use a tech tool because we want to make everything as simple as possible. Other tools we have used in the past are Asana and Process.St.
3. Identify Where You Want To Save Time (and Why)
Creating systems can reduce 10+ hours of working time per week. What would you do with 10 extra hours? You are losing revenue without systems. You are being disrupted and distracted by the notifications and working on the wrong things.
It’s time for continuous growth so you can save time and money. Make a goal for the amount of hours you want to work each week.
Then, identify why you want to work. Do you want to have more time off? Do you want to pursue your passions? This will force you to set some timers and do more focused work when you are on a timer. It will also open your eyes to who you can delegate to and how things can be easier with systems in the future.
It doesn’t have to be hard to grow a business but sometimes we make it much harder than it needs to be. Simplify the most important things with systems and checklists and stop doing what’s not working and you will save time!

4. Make a New System: A Not-Do List
There aren’t enough hours in the day to set up and complete all of the systems yourself. You don’t need to do all the things and stay up until midnight.
Often there is just too much on our to-do list. So not only do you need to prioritize, you need to remove tasks that aren’t working. Is there a social media platform you are spending a lot of time on but it isn’t bringing you any sales and leads. It’s time to stop wasting your time!
Get out your numbers and metrics. After you do a time audit, analyze how much time you are spending doing the activities in the business and which activities are actually bringing you sales (and fulfillment). If something isn’t working, get rid of it…now!
5. Remember To Create a System For Creating a System (and Repeat Every Week)
Systems never end. You want to create a systems mindset for your entire team. Anytime there is a problem or issue in your business, it’s probably because there wasn’t a system.
With our first 2 kids I didn’t have any systems. I was stressed with meal planning, the laundry, cleaning up the kids clothes and then barely had a second for my dreams and goals. How was I supposed to run a business without the energy to show up? Then, I got pregnant with baby #3 and realized something HAD to change.
Now I know that not only in my business do I need systems, I need systems in my personal life too.
Develop a systems thinking for everything you do, and you’ll soon be less stressed and achieving your goals. Today, try to get one small system completed.
